A birthday number display gives guests an obvious place to gather for a photograph. But choosing the number is only half the job. Where you put it affects the pictures, the flow of the room and how comfortably people can enjoy the party.

I am Carl Greenham from Ultimate Party Nights in Weymouth. My starting advice is to plan the display as part of the room, rather than squeezing it into whichever corner remains. These simple checks will help you discuss a useful position with your venue and hire supplier.

Start with the photograph you want

Decide whether the main picture will be the birthday person on their own, a couple or a whole family. A spot that suits one person may feel cramped when friends join in. Leave space beside the numbers for people to stand, plus room in front for someone holding the camera.

Think about the background too. A relatively uncluttered wall can make the display easier to see than a busy noticeboard or a collection of stacked chairs. Take a quick phone photograph of your proposed position during a venue visit. It is a useful way to spot distractions before the room is decorated.

Give the cake table its own breathing space

Numbers and a cake can work well in the same part of the room, but they do not have to be pushed together. Consider where people will stand when the cake comes out, and how it will be carried to the table. A display that looks tidy before guests arrive may become awkward once everyone gathers.

Ask the venue to help you mark out the space for both features. Keep the display on its agreed supporting surface and do not move hired numbers onto furniture or improvise a raised platform. If you want a particular arrangement, discuss it before delivery so the supplier can confirm what is suitable.

Protect the routes people actually use

Look beyond the empty room. Imagine guests walking from their tables to the bar, toilets and dance floor. The display needs a position where people can pause for photographs without creating a queue across one of those routes.

Ask about nearby power and let the supplier agree cable placement with the venue. Keep exits and access routes clear. Mention guests who use mobility aids, pushchairs or additional seating space when discussing the layout. Comfortable access should be part of the first plan, not a last-minute adjustment.

Check the lighting from a phone camera

Ask the supplier about the lighting options for your chosen numbers, then think about the rest of the room. Bright light behind a person can make their face harder to see in a photograph. A dark corner can also be less useful than it first appears, even when the numbers themselves look striking.

Try the view from the position where guests will take pictures. If the venue lighting changes during the evening, mention that when agreeing the setup. Avoid promising yourself a particular photographic effect before seeing how the display and room lighting work together.

Agree delivery and collection around the venue

Share the access time as well as the party start time. Tell the supplier about stairs, parking restrictions and the route into the room. Confirm whether other suppliers will be setting up at the same time and who will be available to show everyone where to go.

Agree collection with the venue before the evening finishes. For an outdoor idea, describe the intended position and ask whether it is suitable; do not assume an indoor arrangement can simply be moved outside. Keep the confirmed layout in one message so the organiser and venue have the same information.

Send Carl the details for your local celebration

UPN offers 4ft light up numbers as a standalone hire service in Weymouth, Portland and Dorchester. You do not need to hire a photo booth as well. Send Carl your date, number combination, venue postcode, timings and access details, along with a photograph of the intended space if you have one.

Number hire is arranged directly with Carl rather than through the online booking form. Availability, the price and setup arrangements need personal confirmation. With the practical details agreed, you can focus on the people who will be standing beside those numbers.
